Supplier management software for mid-market procurement

Supplier management fails for a boring reason: the record of truth is a spreadsheet, and the spreadsheet is a copy.

What a supplier record has to hold

The test is simple: can a new buyer answer every purchasing question about a vendor without asking a colleague?

  • Legal and tax identity, remit-to details and payment terms
  • Qualification status and who approved it
  • Documents with expiry dates that trigger a review before they lapse
  • Categories the supplier is approved to sell into
  • Performance history: on-time delivery, quality events, disputes
  • Every RFx, order and invoice tied back to the same record

Qualification before the first order, not after the incident

Most supplier risk is discovered during an audit or an outage. Qualification only works when it is a gate in the buying flow: a supplier that is not approved for a category cannot be selected for it.

Scorecards that survive contact with reality

Score outcomes with evidence, not capabilities. 'On-time delivery rate to your three largest customers over 12 months' is comparable across vendors. 'ISO certified' is not a performance signal.

Keep the scorecard to about five weighted dimensions. More dimensions dilute the signal and make awards harder to defend.
