RFQ software: run events suppliers actually answer
A low response rate is almost never supplier apathy. It is an RFQ that costs the supplier more to answer than the business is worth.
Email RFQs produce answers you cannot compare: different units, different scopes, different assumptions on freight and lead time. The comparison then happens in a spreadsheet that only one person understands.
RFQ software fixes the input, not just the output: structured line items, a fixed question set, one deadline, one place to answer.
Why suppliers do not respond
Fix these five and response rates move before you change anything else.
- No deadline, or a deadline shorter than the supplier's internal quoting cycle
- Unclear quantities, specs or delivery point
- No indication of award criteria, so the supplier cannot judge its odds
- A PDF that has to be retyped into their system
- No confirmation that the previous quote was ever read
What the RFX Center does
The RFX Center holds the whole event: line items, question set, invited suppliers, deadline, responses and the award. AI drafts the request from the requirement and extracts fields from returned documents, so buyers spend their time on the negotiation rather than the retyping.
Scoring and award routing are rule-based and inspectable. You can show an auditor why a supplier won.
RFQ, RFP, RFI: use the right one
RFI when you do not yet know the market. RFP when scope and approach are part of what you are buying. RFQ when the specification is fixed and price, lead time and terms are the variables. Running an RFP where an RFQ would do is the most common way to lose two weeks.
